Booking Your Date with The Ice Alchemists


i) All event bookings must be confirmed in writing by the Client via our Booking Form. A 50% payment is required to secure The Ice Alchemists for the date of your event, however if this is difficult please discuss your circumstances with The Ice Alchemists, who will do their best to accommodate you.  The remaining 50% is due either 6 or 3 months prior to your event, depending on the nature of the booking.  Terms will be agreed at the point of booking.

ii) Once the client's payment has been received The Ice Alchemists will send you booking confirmation via email.  If you require a receipt please let The Ice Alchemists know at the time of booking..

iii)  In the unfortunate event of a booking having to be cancelled by the Client confirmation of the cancellation in writing is required from the Client.  Upon cancelling the following charges will be incurred:


i) Cancellation received with more than 90 working days notice - no charge and the full payment will be refunded.

ii)Cancellation received within 90 working days of event – 50% of the total booking  cost will be retained.

iii) Cancellation received within 15 working days of event – 75% of the total booking cost will be retained.

Please note, we cannot be held responsible for acts beyond our control such as, but not limited to, vehicle and machinery breakdowns, severe weather, road closures.  Please be assured that we regularly service our machines and do our very best to plan our journeys well in advance.

In the event of us being late to your event due to an act beyond our control, we will stay for the total hours booked, regardless of the time of day we arrive.  We will set up and start service as soon as is physically possible and commit to creating and serving the ice creams you booked.

Should a random act beyond our control occur and result in us not being able to service your event, we will return 50% of your booking fee within the 60 days following your event.

If we cancel your event for any other reason we will always return any funds owing to you within 30 days of us sending you notice of the cancellation.  Please note that to date we have never had to cancel a private booking.

The Ice Alchemists is registered with Fylde Council and Manchester City Council, has a current 5* food hygiene rating and holds a minimum of £10,000,000 Public and Product Liability Insurance.

The Ice Alchemists reserve the right to change their Terms and Conditions when necessary due to the continual evolving nature of the business. It is your responsibility to ensure that you are up to date with the Terms and Conditions, which are available and printable via our website.

Dietary requirements

Becky, the Director of The Ice Alchemists is vegan and her son has multiple food allergies, so there is a personal enthusiasm to provide alternative recipes in our menus and as a business we are fully committed to raising awareness of allergens.

The Ice Alchemists endeavours to provide suitable adaptations to the clients menu for any guests with special dietary requirements or allergies. We cannot however take responsibility for any guests unless advised in advance (no less than 10 working days prior to the event) and we cannot guarantee that our products will be allergen free due to the cross contamination risks of our flavours options.
